Submissions Comment Visibility

Our comment visibility feature is another great collaboration tool powering your team to communicate more effectively. 

Get clear transparency on who exactly will see that comment at all times. You can see the visibility for comments before they are posted while being drafted and after they are posted. 

 


  

Comment Visibility Options 

  • Everyone

  • Your Company

  • External Companies

  • Internal Teams, Groups, or Users

  • External Teams, Groups, or Users

  • Submission Approvers 

  • Submission Reviewers

  • Team member or any specific user 

  • Yourself

 

By default, all comments are set to INTERNAL users only. If you would like to notify specific people or teams of your comment, then tag them.

 

You can set comment visibility to any of the following users/groups by tagging people using the '@' symbol in the comment box followed by the name of the user, company, or group. Tagging users will send them a notification via email or in-app, depending on their notification settings.

As you change these visibility settings you will see the number of people and companies at the bottom of the comment as well. 

 

 

Depending on the visibility settings you choose, you can see an exact list of the people and companies that will see this comment based on the visibility you set. 

 

You can also add people or companies by clicking on the 'Change' shown below, under the list of names.

 

 

 

Tagging specific groups (i.e. submission reviewers or approvers)

An example of when you might want to do this is when you want to send a comment specifically to submission reviewers only in order to notify them to review that submission. You can tag that group of submission reviewers to set the comment visibility specific to reviewers only.

 

To do this, you would set the comment visibility specifically to approvers only by typing '@approvers' in the comment box. You can also simply type '@' and select 'approvers' from the dropdown list.

 

 

In order to get notified when tagged, the notification 'Comment tags' needs to be turned on under the Profile & Preferences > Notifications

  

Internal 

An example of when you might want to do this is when you want feedback from your team before requesting a revision from the external teams. Using our comment visibility options, you could set the visibility specifically to internal team members only so that the external parties cannot see those comments. 

 

To do this, you would click on 'Change' below the comment box. This is where you can choose what teams or persons can view this comment. You can start by typing the name or company and clicking on the option from the menu.

 

In this specific scenario, you type 'internal' and choose it from the drop-down menu, meaning your internal company team. But you have other options as well like specific groups within your company.

 

Companies

You can tag your company as a whole or you can tag external companies like licensees. 

 

To do this, you would simply click on 'Change', start typing the name of the company and select it from the dropdown menu – i.e. 'fashions USA, LLC' like in the images below.

 

You also have the ability to choose companies by clicking on 'Change', below the comment box.

 

Specific Team Members or Users

To set the comment visibility to a specific person you would simply type the name of that user after '@' – i.e.

 

You can also choose the specific person by clicking on 'Change' below the comment box.
