Users can now quickly and accurately see a visual representation of company data that matters the most to them, and the exciting updates to our Dashboard feature make it more granular and customizable than ever!
Your default dashboard will be the first thing you see when you log in to Brainbase, while your other saved or shared dashboards will also be easily accessible.
Note that Dashboard data is refreshed daily at midnight (UTC). In addition, any preexisting Dashboards prior to this update will need to be recreated.
The following standard dashboards cannot be deleted, edited, shared, and are always available to all users:
Approval dashboard
Legal dashboard
Financial dashboard
Note that these three Dashboards cannot be edited, though you're welcome to duplicate one and adjust the tiles as you see fit! You can also set your desired default Dashboard or create a brand new Dashboard from the three icons in the top-right corner.
Approval Dashboard
The Approval Dashboard displays product submissions-related data.
This Dashboard includes the following tiles by default:
Approved Submissions (All-Time, Last Year, Last Month, Last 7 Days)
Submission Stages (Last 90 Days)
New Submissions (Last 30 Days)
In Progress vs. Final Submissions (Last 12 Months)
In Progress vs. Final Submissions by Type (Last 12 Months)
Submissions by Priority
Average Time from the First Stage to Final by Submission Type
Legal Dashboard
The Legal Dashboard offers a detailed overview of contract-related data.
The Legal Dashboard includes the following tiles:
Total Number of Active Contracts per Month
Total Number of New Contracts per Month
Total Number of Active Licensees per Month
Top 7 Properties by Active Contracts
Top 7 Properties by Active Licensees
Contracts Expiring Within Next 60 Days
Contract Manager by Net Sales
Top Performing Licensees by Net Sales
Financial Dashboard
The Financial Dashboard provides a thorough overview of everything related to sales reporting.
The following tiles come standard with the Financial Dashboard:
Total Approved Sales Reports
Total Not Approved Sales Reports
Total Pending Sales Reports
Total Paid Sales Reports
Active Contracts Guarantee Recoupment

Managing Dashboards
To get to the 'Manage Dashboards' view you need to open one of the available dashboards, click on the dropdown and choose 'Manage Dashboards' at the bottom.
Once you've clicked 'Manage Dashboards,' you'll land on the Dashboards list view, where you can make the following adjustments to your custom dashboards:
Set as Default Dashboard
Rename
Manage Access
Sidebar visibility
Duplicate
Remove
Sharing Dashboards
Sharing Dashboards can be done in two different ways:
from the 'Manage Dashboards' page (as seen above), clicking the three-dot menu icon and selecting 'Manage Access.'
From the Dashboard itself by clicking the blue plus sign in the top-right corner.
Note that licensees and agents will only see licensor data that they're directly involved with.
Regardless of which route you take, you'll see a popup where you can view who currently has access to this custom Dashboard, as well as the option to search for other users with whom you'd like to share it. Note that the standard Dashboards can't be shared, since they're already visible to all internal users.
This is where you can also distinguish the type of access you'd like to grant each party:
View Only
View and Edit
No Access
Note that while you can share a Dashboard, the recipient will only be able to see the applicable data for that module based on their permissions settings. For example, if a user has access to view all Contracts, Properties, and Companies data, (like below), they'll be able to see the associated data in Dashboards.
Downloading a Dashboard
You can easily download a Dashboard (standard or custom) by clicking on the three-dot icon in the top-right corner of the board and selecting 'Download.'
You'll then see a popup menu where you can choose the file type (PDF or CSV), as well as the Paper Size and some other formatting options. Once you've selected the settings that best suit your needs, click the blue 'Download' button to finish.
Once you've clicked 'Download,' a new browser tab will populate with your downloaded file appearing at the bottom.
Scheduled Dashboard Deliveries
You're able to schedule reports to be automatically sent by email to one or many users at specific intervals. This allows users to quickly get relevant data and visualization from Dashboards at the intervals they need it.
The report can be sent once or scheduled with different frequencies (daily, hourly, minutes, weekly or monthly) at a specific time.
To start, click on the three-dot icon in the top-right corner and select 'Schedule Delivery.'
This will take you to the following screen, where you can set the following criteria:
Recurrence
Timing
Email recipients
Format (CSV zip, PDF, PNG)
Include a message to be sent with the delivery (under 'Advanced Options')
